1. Overview
At Sanwaliya Developers, we are committed to client satisfaction. We work in weekly sprints with regular demos, so you see progress continuously and can provide feedback early. This approach minimizes the risk of dissatisfaction and ensures alignment throughout the project lifecycle.
However, we understand that circumstances change. This Refund Policy explains the conditions under which refunds are available, the process for requesting a refund and the timelines for processing. By engaging our services, you agree to this Refund Policy.
Software development is a custom service involving significant upfront effort in discovery, design and architecture. Therefore, our refund policy reflects the work already completed at the time of refund request, while protecting both parties' legitimate interests.
2. Refund Eligibility
Refunds are evaluated on a case-by-case basis, considering the following factors:
- The stage of project completion at the time of refund request.
- The work already delivered and accepted by the client.
- The reason for the refund request.
- Whether the client has provided timely feedback and approvals as per the SOW.
- Whether there has been a material breach by Sanwaliya Developers.
Refund requests must be submitted in writing (email to billing@sanwaliyadevelopers.com) within 7 days of the issue that triggered the request.

- Step 2: Our team will acknowledge receipt within 2 business days and review the request within 7 business days.

- Step 5: A formal closure email will be sent once the refund is processed.
If the refund request is denied, we will provide a clear explanation. The client may escalate to senior management by emailing founders@sanwaliyadevelopers.com.
5. Refund Timeline
Approved refunds are processed as follows:
- Bank Transfer (NEFT/IMPS): 5-7 business days to reflect in your account.
- Razorpay / Paytm: 7-10 business days (depending on your bank/card issuer).
- Cheque: 10-15 business days (dispatch + clearance).
Refunds are processed in INR. Any currency conversion charges (for international clients) are borne by the client.
6. Non-Refundable Items
The following are not eligible for refund:
- Third-party costs already paid on your behalf (domain registration, hosting, SSL certificates, payment gateway setup fees, SMS credits).
- Hours of work already completed and accepted at milestone approvals.
- Consulting fees for technology consulting, audits or advisory services (knowledge cannot be "un-delivered").
- Custom artwork, content writing or branding work that has been delivered and approved.
- Hosting, maintenance and support subscriptions after the service period has begun.
7. Cancellation by Client
If the client wishes to cancel an ongoing project, they must provide written notice. The client remains liable for:
- All work completed and accepted up to the cancellation date.
- Any non-refundable third-party costs already incurred.
- Reasonable wind-down costs (final handover, documentation, source code transfer) - typically billed at 10% of the remaining project value or actual hours, whichever is lower.
Completed deliverables and source code will be handed over once all outstanding invoices are settled.
8. Termination by Us
If we terminate the engagement due to client breach (non-payment, unlawful activity, breach of Terms), no refund is due. If we terminate for our own reasons (capacity, conflict of interest) before completion, we will refund the pro-rata amount for work not completed.
In the rare event that we cannot complete a project due to technical infeasibility discovered after engagement, we will refund the unearned portion of the advance payment in full.
